The problem
SharePoint stores files.
It doesn’t manage records.
Folders don’t know who a document belongs to, retention is set library by library, and search returns everything except the file you need. FilePlan 365 adds the structure SharePoint is missing.
SharePoint on its own
Files in folders
- The same contract saved in five places, by five people
- Metadata is optional, so nobody fills it in
- Retention set per library, not per person or case
- Subject access requests turn into a treasure hunt
With FilePlan 365
Records in context
- One record per employee, case, tenancy or project
- Document types bring the metadata and templates with them
- Retention starts when the employee leaves or the case closes
- Everything about a person or case, found in seconds
How it works
Four layers turn SharePoint into a records system
Each layer builds on the one before, so every document lands in the right place with the right rules, without anyone having to think about it.
01
Record context
The employee, case, tenancy or project a document belongs to
02
File plan
Numbered classifications everyone files to the same way
03
Document types
Metadata, templates and naming built in
04
Purview policies
Retention, sensitivity and DLP applied automatically
